Locating and Reserving a Room
TKO VideoConferencing manages a network of over 1,000 video conferencing facilities throughout the world.
Once we receive your request for a video conference meeting, our Reservations Associates will search for facility availability based on the information you provide. This process usually takes 15-90 minutes for locations within the United States and up to 24 hours for sites globally (due to the time zone differences). Once we determine a room is available, we will notify you and temporarily reserve it for you. A temporary reservation is not confirmed until you approve the dates, times and estimated charges with valid billing information.
After you have approved the estimated charges and provided us with your billing authorization, TKO will confirm your video conference meeting reservation. At that time your reservation will be confirmed and the facilities, network and personnel that will be hosting your video meeting will be held for your exclusive use on the day and at the times you have specified.
Our Testing Policy
We know, and you can expect, that video communications equipment must be tested and calibrated frequently to ensure successful conferences. This is especially important for conferences that are between countries in widely different time zones. As a part of your meeting arrangements, we will endeavor to test the video connections prior to the date and time of the conference. Sometimes, due to the short timeframes a client requests for a video conference meeting or due to the inability to coordinate with client personnel for a test adequate testing cannot be performed prior to a video conference.
While our policy is to always conduct testing prior to each video conference, we recognize that this is sometimes not possible due to timeframes and client staff availability. Lack of advanced testing may cause delays to video conferences and in some cases, the video conference may fail on the meeting date. Charges may not be reduced if the conference failure was due to inadequate testing with client facilities or due to client side problems. TKO VideoConferencing will endeavor to minimize such costs but the cost of a failed video conference may be borne in full if a conference fails due to inadequate testing.
Generally, TKO VideoConferencing recommends that you allow at least 3 working days for us to reserve, test and calibrate video networks and equipment prior to your scheduled conference. During this time, our technicians will reserve facilities and equipment, test the dial-in numbers or addresses, and adjust the audio and video as may be required. A technician or video conferencing coordinator will be available for your meeting to troubleshoot and resolve problems that may arise during your conference.
Pricing
We offer competitive pricing to fit your budget and we provide discounts for full day meetings and multiple events. Your reservation will show the estimated charges for your video conference. Charges may change if additional services are required or if sales or government fees are required at a location.
All charges are estimated until a conference is complete. Taxes and government fees vary from location to location. Estimated charges are, in part, based on information you provide to us during the request process. An estimate of the charges for your video conference will be sent to you by email, fax or hardcopy on a RESERVATION FORM. Until you approve the reservation it is only temporary. Your temporary reservation will become a CONFIRMED RESERVATION upon your authorization of charges, times and locations. Authorizations must be in writing and TKO VideoConferencing will provide all the required information for you to review and authorize prior to confirming your reservation.
