Arranging for the use and rental of video conference rooms in one location or multiple locations around the world is easy. TKO VideoConferencing can arrange every aspect of your meeting - from reserving facilities, to arranging for video conferencing calls and presentation equipment.

The following items are typically needed to arrange for your video conference:

  • Location of each meeting participant
  • Preferred Dates and Time frames
  • Number of meeting participants
  • Type of meeting (Common types are: interview, business meeting, presentation, deposition)
  • Method of payment (Credit card, wire transfer, on account)

About the Event
Here are some important considerations that TKO VideoConferencing can help you review as you plan your video conference meeting:

  1. Is your meeting going to be a highly interactive one-on-one meeting or a broadcast?
  2. Will your meeting be broadcast to a large number of locations or just one other site?
  3. Will the meeting include a presentation from a personal computer or with hardcopies?
  4. Will you need extra space in the meeting room for assistants, colleagues or reporters?
  5. Do you want the meeting recorded in any way or available for viewing on the Internet?
  6. Will you be considering the purchase of video conference equipment for your own office?
Locating and Reserving a Room
We may need to search for facility availability. This process usually takes 15-90 minutes for locations within the United States and up to 24 hours for sites globally (due to the time zone differences). Once we determine a room is available, we will temporarily reserve it for you. A temporary reservation is not confirmed until you confirm dates and times and also provide valid billing information along with authorization for charges associated with the meeting reservation, test calls, and facilities rental.

After you have provided us with your billing authorization, TKO will confirm your video conference meeting reservation. At that time your reservation will be confirmed and the facilities, network and personnel that will be hosting your video meeting will be held for your exclusive use on the day and at the times you have specified.

Our Testing Policy
Our long experience with video communications of all types, and in particular with video conferencing, has crystallized the importance of performing a test before the conference. We know, and you can expect, that video communications equipment must be tested and calibrated frequently to ensure successful conferences. This is especially important for conferences that are between countries in widely different time zones.

Generally, TKO VideoConferencing recommends that you allow at least 3 working days for us to reserve, test and calibrate video networks and equipment prior to your scheduled conference. During this time, our technicians will reserve facilities and equipment, test the dial-in numbers, and adjust the audio and video as may be required. A technician or video conferencing coordinator will be available for your meeting to troubleshoot and resolve problems that may arise during your conference.

Pricing
TKO is an industry leader, providing video communications in the United States and globally. We can accommodate a video conference or broadcast meeting of nearly any size. We offer competitive pricing to fit your budget and we provide discounts for full day meetings and multiple events.

All charges are approximate and vary from location to location. Estimated charges are, in part, based on information you provide to TKO. An estimate of the charges for your video conference will be sent to you by email, fax or hardcopy on a TEMPORARY RESERVATION FORM. Your temporary reservation will become a CONFIRMED RESERVATION upon your authorization of charges, times and locations. Authorizations must be in writing and TKO VideoConferencing will provide all the required information for you to review and authorize prior to confirming your reservation.

Our prices vary by location and they will typically include a small reservation & test fee, an hourly room rental fee and hourly port charges if a video conference call is made outbound from a room you reserve.
